How to calculate the real cost of a marketing stack
The price on a landing page is only one line in the budget. Compare the workflow you need at the scale you expect.
Two products are not meaningfully comparable if one quote includes three users and automation while the other includes one user and a limited free plan. Write the required workflow first, then identify the least expensive plan that actually supports it.
Use the same checklist for each option
- Number of users who need access, including administrators.
- Number of billable contacts and what the provider counts as a contact.
- Sending limits, automation features and integration charges.
- Onboarding, migration and ongoing maintenance time.
- Monthly versus annual commitment, renewal pricing, taxes and currency conversion.
- Data export, cancellation and the work needed to leave.
A hypothetical first-year example
Suppose a CRM costs $20 per user per month and you need two users. Your email tool costs $30 per month and an integration costs $10. These are invented figures for the calculation, not current product prices.

Subscription cash outlay is $960; the $450 value of time is an opportunity-cost assumption, not another invoice. Keep those numbers separate when checking what your bank account must fund.
Compare three sizes
Price the setup for today, a plausible next stage and a stretch case. For example, compare your current contact count with 1,000 and 5,000 contacts, using the provider's current definitions and prices. Record the date of every quote. Avoid annual prepayment until the workflow has passed a trial and the commitment makes sense.
Estimate value conservatively
If the tools cost $80 per month and your time is valued at $25 per hour, they need to save 3.2 hours per month to match that subscription cost on a time basis. Setup, maintenance and taxes increase the threshold. Time saved is only valuable if it improves work, reduces errors or frees capacity you can use.
Keep an exit plan
Before subscribing, export sample records and note which data is missing. Check who owns the account and how you will recover access if a staff member leaves. A slightly cheaper product can become expensive when switching is difficult.
